Accession scoped Institution level

Specify 7 Version:
v7.12.1.1

Hi,
Could you please let me know how to configure the Accession table so that it is scoped at the Institution level rather than at the Discipline level?

Thank you!

Anna

Hi @Anna !

Thanks for this question!

For hosted databases, our support team prefers to take care of something that like on our end. I’ve just set them to be global in your database since you fall into that category.

For self-hosted databases, see the guidance below:

Whether or not Accession records are at the Institution, or “Global”, level in your Specify database is determined by a checkbox field on the Institution table named IsAccessionsGlobal.

  • If IsAccessionsGlobal is true, accessions are scoped to Institution.
  • If IsAccessionsGlobal is false, accessions are scoped to Division.

Setting this field’s value can be done from the database manager application (e.g., DBeaver) or from within the Specify application.

To change the IsAccessionsGlobal value from within Specify:

  1. In App Resources, add a custom view definition for the Institution form with the IsAccessionsGlobal field present
Being a consequential checkbox field, it is commented out/hidden in the default Institution form definition to prevent unintentional edits. We suggest creating the custom Institution view definition in a form definition added at the user level to limit non-admin user’s access to the field See App Resource Hierarchy for more on scoping form definitions.
  2. In System Config, set the field to true by clicking the checkbox and Save.

Hi Bronwyn,

Thank you very much for your help and for the detailed explanation.

Best regards,
Anna
